The per-hour accrual formula

PTO accrual per hour worked converts an annual PTO allowance into an hourly drip rate.

Formula = PTO Accrual Rate = Annual PTO Hours / Annual Work Hours. PTO Accrued Per Pay Period = Hours Worked x Accrual Rate. Standard annual work hours = 2,080 (40 hrs x 52 weeks).

So if you get 80 hours (2 weeks) of PTO per year and work a standard 2,080-hour year: 80 / 2,080 = 0.0385 hours of PTO per hour worked. Every 40-hour week, you bank 1.54 hours of PTO.

Step-by-step: 120-hour PTO plan for a full-time employee

Let’s say a marketing coordinator gets 120 hours (3 weeks) of PTO per year, works 40 hours/week, and is paid biweekly.

  1. Annual accrual rate: 120 / 2,080 = 0.0577 PTO hrs per hour worked.
  2. Per pay period (80 hrs worked): 80 x 0.0577 = 4.62 PTO hours.
  3. Per week: 40 x 0.0577 = 2.31 PTO hours.
  4. Annual total: 2.31 x 52 = 120 hours (matches the policy).
